Cuándo usarla
- A member wants to buy gym merch — Check stock by SKU and size, process the order, handle payment, update inventory
- A member orders a protein shake or supplement at the bar — Record the sale, update daily revenue
- Running a pre-order campaign for a new merch drop — New hoodie design, limited edition t-shirt, event apparel; collect pre-orders, manage quantities, coordinate production
- Inventory count reveals a SKU below reorder threshold — Trigger a reorder alert with the supplier
- End-of-season inventory reconciliation — What sold, what didn't, what's leftover; prepare markdown recommendations
- A member asks about sizing, pricing, or product availability — Query the product catalogue
- Processing a bulk or corporate order — Corporate wellness client wants branded kits for employees; generate a quote and process the order
- Supplier delivery received — Check delivery against purchase order, update inventory counts, file the delivery note
Errores que conviene evitar
- Not doing a physical inventory count regularly — System inventory and physical stock drift apart over time due to unrecorded breakages, staff consumption, and POS errors. Do a physical count of all apparel SKUs at least monthly; supplements weekly.
- Over-ordering on pre-order campaigns without a firm MOQ commitment — Getting stuck with 200 unsold hoodies because the "expected volume" never materialised is a serious cash drain. Never order production quantities without at least 60% of the MOQ in confirmed pre-orders.
- Setting reorder thresholds too high or too low — Too high means you run out before the reorder arrives; too low means you tie up cash in excess stock. Calibrate based on supplier lead time (reorder point = average weekly sales × lead time weeks + safety stock).
- Not tracking size-level inventory for apparel — It's not enough to know you have 30 hoodies; you need to know you have 30 hoodies and 0 in size M because size M sold out three weeks ago. Track at the SKU level (product + size + colour).
- Forgetting about product shelf life for supplements and consumables — Protein powders typically have a 12-18 month shelf life. Old stock near expiry must be flagged and either sold at discount or written off. Check expiry dates on every delivery and every quarterly count.
- Mixing personal staff purchases with merchandise inventory — Staff should purchase merch through the POS like any customer. Personal items taken without payment are a shrinkage risk and a tax/compliance issue.
