When to use it
- Weekly proactive review — Run the risk report every Monday morning before the billing date and assign outreach to staff within 2 hours
- Pre-call briefing — A member calls to cancel; pull their risk score and recommended save offer before picking up the phone
- Post-price-increase window — After any membership price change, run a targeted risk report for the affected membership tiers
- Seasonal campaigns — Schedule a retention push in weeks 1-2 of January and September targeting members flagged medium-risk or above
- New member 60-day check-in — Flag any member who hasn't attended a class or visited in the first 60 days as an early churn risk
- Instructor handoff — When a PT client stops attending, alert the membership manager before the relationship fully lapses
Mistakes to avoid
- Using the score as a replacement for conversation — The risk score is a briefing tool, not a decision. Always speak with the member; the score tells you where to probe, not what to decide for them.
- Offering discounts to results-frustrated members — This is the most common error. A frustrated member doesn't want a cheaper gym; they want to understand what they're doing wrong. A PT session is the right offer, not a price reduction.
- Outreach without a specific commitment — "Come back when you're ready" is not a save. Every save offer must include a specific date, time, and action: "Book a free PT assessment for Tuesday at 18:00 — I'll hold the slot for you."
- Missing the 14-day window — By the time a member calls to cancel, psychological commitment to leaving is already high. The 14-day no-visit mark is the real intervention point, not the cancellation call.
- Not tracking save outcomes — If you don't follow up 30 days after a save offer to confirm the member is still active, you have no feedback loop. Save rate is the most important operational metric for retention.
- Treating all locations the same — A member at a busy downtown gym has different disengagement patterns than one at a residential location. Segment your risk models by location.
