When to use it

  • Your existing reports don't match how the team actually sells
  • You need a weekly sales report that goes to Slack or email automatically
  • Preparing for a board meeting and need pipeline and revenue reporting
  • You suspect your reporting data is wrong because reps aren't logging consistently
  • A manager keeps asking for data that doesn't exist in the CRM — you need to build it
  • Auditing which reports are actually being used vs. which were built and forgotten

Mistakes to avoid

  • Building reports that are too complex — if it takes more than 2 minutes to read the report, it's too complex; simplify and split into multiple reports
  • Using "Last Modified Date" without understanding what updates it — in most CRMs, a system update (like a workflow running) counts as a "last modified," so a deal that hasn't been touched by a human in 30 days can still show "updated yesterday"; use a specific "Last Activity" field instead
  • Forgetting that historical data is frozen in time — if you run a "deals by close date" report today, it shows the current state of those deals, not the state when they were actually closed; for historical accuracy, pull reports from the date the deal was closed
  • Not saving reports as templates — if you build a great report and then accidentally delete it, you have to rebuild from scratch; always save as a template with a version number
  • Sending reports to people who don't have the CRM access to investigate further — a report that shows "Deals at Risk" is useless if the manager receiving it can't drill into the individual deals without CRM access; either include the deal list in the report or send it only to people who can investigate
