When to use it

Mistakes to avoid
- Quoting without knowing your minimum — if you quote $5,000 minimum for a Friday night event and the host's budget is $3,000, you've wasted everyone's time; ask for the budget early
- Not having a BEO distribution process — the BEO is the single document that prevents chaos at events; it must go to every department with enough lead time to act on it
- Allowing the event to start before the BEO is signed — an unsigned BEO means the host hasn't agreed to the final charges; don't set up an event without a signed BEO and deposit
- Forgetting about the setup and breakdown time — if an event ends at 10 PM and you need 90 minutes to reset for service the next morning, that needs to be in the contract; additional rental time costs money and must be charged
