When to use it
- A new patient arrives for their first appointment
- A patient has not been seen in 24+ months and needs to be re-registered
- Registering a patient who has multiple insurance plans (Medicare + Medicaid, dual coverage)
- A patient is self-pay and needs a financial policy discussion
- A new patient has completed pre-registration forms online and staff needs to verify and finalize
- Preparing for a new patient's first visit (verify intake forms are complete before arrival)
Mistakes to avoid
- Failing to scan both sides of the insurance card — information on the back (phone numbers for authorizations, mental health line, Rx BIN/PCN) is critical and not always where you expect it
- Collecting only the copay when the patient has a high deductible — the practice loses significant revenue by not estimating and collecting the patient responsibility beyond the copay at time of service
- Not verifying Medicare vs. Medicaid eligibility — patients who are dual-eligible (both Medicare and Medicaid) have very different billing rules and must be handled correctly to avoid billing errors
- Forgetting to ask about Living Will / Advanced Directive preferences — for adult patients 18+, this should be offered every visit; it's legally required in some states and critically important for all patients
- Not confirming the patient's preferred contact method for appointment reminders — patients who prefer SMS vs. phone vs. email should be marked in the system; sending reminders via the wrong channel results in missed appointments
