When to use it
- A guest calls or stops by the desk with a specific request
- A VIP or repeat guest has arrived and the concierge needs personalized recommendations
- A guest needs a same-day restaurant reservation during peak hours
- Arranging airport transfer or car service for a departing guest
- A guest is celebrating an anniversary, birthday, or honeymoon and wants a special arrangement
- A guest asks for directions, local attractions, or off-the-beaten-path recommendations
- Coordinating a last-minute request that requires multiple vendors simultaneously
Mistakes to avoid
- Booking a restaurant without noting dietary restrictions — a guest with a severe shellfish allergy who gets seated at a restaurant that cannot accommodate them is a service failure, not just an inconvenience
- Not confirming transportation 24 hours in advance — last-minute changes of plan happen constantly; not confirming means you're not aware of them until the driver arrives to an empty curb
- Recommending a restaurant or attraction based on outdated knowledge — if you haven't personally been to a place in the last 3 months, verify the recommendation is still current before giving it
- Failing to give guests directions in the format they need — a text message with a Google Maps link for a rideshare pickup is better than verbal instructions for everything but the simplest directions
- Forgetting to ask the guest for their preferred pickup time when arranging a transfer — guests assume the car will be waiting at the time they need, not the time you told the driver to arrive
