When to use it
- A new lead comes in and needs immediate assignment to a rep (round-robin, territory, or weighted assignment)
- Deals have been stuck in a stage for too long and need automatic follow-up reminders
- A deal is won or lost — need to trigger post-sale workflows (onboarding, NPS survey, re-engagement)
- Re-engagement automation for cold leads (no activity in 30/60/90 days)
- Lead scoring automation based on engagement (email opens, website visits, form fills)
- Automatically updating a field on a record based on another field's change
Mistakes to avoid
- Creating cascading automations (Automation A triggers Automation B triggers Automation C) — this is impossible to debug; keep automations as flat, direct chains
- Using "Contact Property Changed" as a trigger without specifying which property — this will fire on EVERY change including auto-updates from integrations, creating infinite loops
- Not setting a "do not re-trigger" condition — without this, every time a contact meets the trigger criteria, the automation fires again, potentially spamming the customer
- Ignoring the "last modified" metadata — if a deal is updated by an automation (not a human), it should NOT reset a "days in stage" counter; check your CRM's field update settings carefully
- Automating email sequences without checking CAN-SPAM and GDPR compliance — every automated email needs a physical mailing address and unsubscribe link; failing this has caused serious legal liability for companies
