Cuándo usarla
- A client receives an approval notice and you need to communicate it promptly
- A Request for Evidence (RFE) arrives and the client needs immediate notification with next steps
- A case milestone (I-140 approval, I-485 transfer, interview scheduled) needs to be communicated
- You need to send a batch status update to a group of clients waiting on the same case stage
- Setting up automated case status updates for a high-volume immigration practice
- A client calls asking "what's the status of my case?" — generating the response
Errores que conviene evitar
- Sending case status updates via unencrypted email — immigration documents contain SSNs, A-numbers, and other highly sensitive personal information; an unencrypted email is a data breach waiting to happen and potentially violates state bar ethics rules
- Missing an RFE response deadline — USCIS does not extend deadlines for late responses; a missed RFE deadline typically results in case denial with no appeal; this is the single most catastrophic error an immigration practice can make
- Sending a generic case update when the client just got an RFE — the RFE notification needs to be personal, urgent, and specific; a generic template without the actual response deadline and specific documents listed is worse than no communication at all
- Forgetting to update the client after the approval notice — the day USCIS approves the case is the highest-anxiety-to-joy moment in the immigration process; a prompt, warm communication acknowledging this milestone is the highest-value communication you will ever send to that client
